Keeping your audiences tidy

Audience lists accumulate faster than anything else in an email account, and a table of forty rows nobody understands is how sends go to the wrong people.

Name them so they still make sense later

"Import 3" and "New list" tell you nothing in six months. A name that says who and when — "Newsletter signups 2026" — survives.

Rename list in the Actions menu changes only the name; contacts and campaigns are unaffected. See Rename, open or delete a list.

Archive rather than delete

Most people keep lists they no longer use because deleting feels risky. A folder called Archive resolves that: the list stays, the table stays readable. See Organise audiences into folders.

Prefer one segment to five lists

If you find yourself maintaining several lists that all mean "engaged customers", replace them with a segment. Lists you maintain by hand drift out of date the moment you forget one; a segment cannot. See Segments versus lists.

You do not need to prune bad addresses

Bounces, complaints and unsubscribes are suppressed automatically and excluded from every send. Deleting them by hand achieves nothing and loses the record of why they were excluded — which is what stops them being re-added by your next import.

The exception is a whole list that is mostly unmailable. That is not a pruning job; it is a list you should stop sending to.

Before a big send

Open the audience, glance at the mailable figure, and confirm the list is the one you meant. Both take seconds and catch the two mistakes that actually matter.

Next: open Audiences and rename anything whose name would not make sense to you in six months.
