Create and assign a task

Open this in your dashboard

Open Action Board, click Add a task, type a title and press Enter. The task is added at the top and its side panel opens so you can fill in the rest.

In the List view, the add row also lets you pick the status, category, assignees and due date before you press Enter. In the Board view, each column has its own Add a task, so the task starts in that column. Only the title is required.

The fields

  • Assignees — any number of workspace members, up to 20. Assigning someone sends them a notification and an email. Viewers aren't listed because they can't work on tasks. Owners and admins see Add member… at the bottom of the list to invite someone new.
  • Due date — pick a day, or use Today, Tomorrow or Next week. A task becomes overdue the day after its due date, wherever you are.
  • Priority — Low, Medium or High.
  • Category — one per task, for grouping by channel, client or campaign. Create categories with Categories in the toolbar.
  • Notes — the brief, up to 10,000 characters.
  • Assigned by — filled in for you, showing who added each person and when.

Attachments and subtasks

Under Attachments, drop files or attach them: images, video, PDFs, office documents, CSV, text and zip files, up to 200 MB each. SVG files aren't accepted.

Under Subtasks, type into Add a subtask to build a checklist. Each subtask can have its own assignee and its own files. Every subtask has to be ticked off before the task can be marked done.

Comments

Write in the box at the bottom of the panel and click Send. Type @ to mention someone. A mention always reaches them, by notification and email. You can edit or delete your own comments, and owners and admins can delete anyone's.

Who can change a task

When a task has no assignees, anyone who can edit the board can change it. Once it's assigned, only the creator, the assignees and workspace owners and admins can. Everyone else sees "Only … can change this task. You can still comment."

Changing who a task is assigned to is limited further: only the creator or an owner or admin can do it. Assignees can work on the task but can't add or remove people.

Next: Move a task through review to Done.
